Computing By Aug 09, 2023

Microsoft Office, a cornerstone of productivity software, offers users the flexibility to work in their preferred language. Whether you’re composing documents, crafting presentations, or sending emails, Microsoft Office’s language customization feature ensures that you can work comfortably and efficiently. In this guide, we’ll walk you through the steps to set the preferred language in Microsoft Office applications.

How to set language preference in Microsoft Office

Step 1. Launch Microsoft Office Application and Go to Options or Preferences

Begin by opening a Microsoft Office application such as Word, Excel PowerPoint, Outlook or any application from the suite. In this example, we are going to use Microsoft Word.

Once the application is open, navigate to the top menu bar. For Windows users, click on the File tab, followed by Options. If you’re using a Mac, click on the Application Name menu (e.g., Word, Excel), and then select Preferences.

Step 2. Find Language Preferences

In the Options or Preferences window, look for the Language or Language & Region section. The exact wording may vary slightly depending on the application and version you’re using.

Within the Office Language Preference section, you’ll typically find two options: Office Display Language and Office Authoring Language and Proofing. The Office Display Language affects the interface of the application, while the Office Authoring Language and Proofing determines the language of the software’s built-in help resources used for creating and editing documents, including proofing tools such as spelling and grammar check.

Step 3. Install Preferred Display Language

Click on Add a language next to Office Display Language, scroll down and select the preferred language to install, click Install. If the language is already present, you can select it then click Set as preferred or click move up.

You must have an internet connection to download Microsoft 365 and Office updates. Then you will be asked to close the open Office application to apply the updates.

Once updates are installed, open the Office application to see if the language was successfully changed.

Step 4. Install Office Authoring Language and Proofing (Optional)

Click on Add a language next to Office Authoring Language and Proofing, scroll down and select the preferred language to install, click Install. If the language is already present, you can select it then click Set as preferred.

Do the same thing as Office display language.

Conclusion

Whether you’re collaborating with international colleagues, composing documents in your native tongue, or simply exploring a new language, Microsoft Office’s language customization feature empowers you to work seamlessly across linguistic boundaries. By following the step-by-step guide outlined above, you’ll be able to navigate through the language settings of your favorite Microsoft Office applications with ease.
